Material Map guide

A reminder of where things are and how to use them.

Inventory

The index summarizes boxes by Lot/R #. Choose Search By to search an identifier, material, customer, type, status, location, or reference. Open an identifier to work with its boxes in Workspace.

  • Include Inactive brings back boxes marked Loaded on Truck, Shipped, Consumed, Discarded, or Removed.
  • Columns reveals optional fields, including Type, Customer, Reference, Shift, and Lot Start/End dates. Unknown historical dates stay blank.
  • Click a column heading to sort; click again to reverse it. On a phone, swipe wide tables sideways to see the remaining columns.

Available to Ship

This table shows on-hand boxes in Lots 60000 and above, including Lots still in production. Check Status before treating a Lot as ready. It includes Material, Type, Customer, box count, and locations; Unlocated means no location is assigned. Open the Lot # to inspect its boxes.

Status guide
Active
Material physically exists and is available for eventual use.
Complete
A finished-product Lot has completed production. Marking a run Done in Tally sets its boxes to Complete.
Waiting to Ship
Material is on an upcoming sales order.
Loaded on Truck
Material is physically loaded onto a truck.
Shipped
Material has left.
Consumed
Material has been used.
Discarded
Material has been scrapped or disposed of.
Removed
Material was taken out of tracked inventory for another reason.

Loaded on Truck, Shipped, Consumed, Discarded, and Removed are excluded from Warehouse. In Inventory, check Include Inactive to see them. Saving these statuses in Workspace sets Location to 0.

Removing a box from the Workspace editing list does not change its stored status or delete it.

In Tally, Running and Paused describe production activity separately from box Status. Pause Run stops box entry until Resume Run is used; existing boxes keep their statuses and locations and remain on hand as applicable.

Changing a box to Shipped fills a missing Ship Date with today's plant-local date. Existing or manually entered dates are kept. Already-shipped historical boxes with unknown dates remain blank.

Storage

Browse Warehouse Storage, Plant Storage, and named locations. Expand a row to see individual boxes. The summary shows recorded occupancy/capacity, groups stored there, and any OPEN spaces. These reflect saved records, so an inaccurate count still needs a physical check.

  • Unlocated, after Plant Overflow, lists on-hand boxes with a blank location or Location 0. Use its quick jump at the top, then select boxes to assign a location.
  • The Other Location Values warning appears only for on-hand boxes whose location does not match any displayed row or zone. Expand it to see the values and counts that need review.
  • Select individual boxes, a group, or all boxes in the expanded row; enter a destination under Move selected to and choose Move Selected. A destination can be a row, B location, named zone, or 0 to clear the location.
  • Click a box ID to open its individual editor.
  • Mark verified records the date you physically checked and reconciled the row. The green check lasts seven days; the saved date remains afterward. It does not automatically verify the records for you.

Row tally

View row tally prints saved on-hand boxes grouped by Lot/R #. Choose a location, optional material heading, and date style, then view or print. Save staged Workspace edits first so they appear on the sheet.

Storage → Row Audit

Use this while walking a warehouse row and matching the boxes you see to the saved inventory.

  1. Open Storage, expand the row, and choose Audit this row. Or open Row audit in Workspace, enter the destination row, and choose Use this row.
  2. Open a Lot # or R # in Workspace. The audit destination stays available as you work through groups.
  3. Select the boxes that actually belong in that row, then choose Stage selected boxes for this row.
  4. Review the staged locations and choose Save Changes. Staging alone does not update Sheets.
  5. Use Saved row contents and Refresh to check the saved result. View row tally opens the row's tally; Back to row returns to Storage.
  6. When the physical contents match, use the row's verification control in Storage to record your check. Choose End audit in Workspace when you are finished using that destination.

If different Lots/R groups intentionally share the destination, the audit's Intentionally allow mixed R/Lot groups checkbox records that intent for this destination. Review unexpected conflicts before saving.

Tally

Start a New Run / Edit Run

Start a run with its Lot # and production details. This creates the run; Add Box records its boxes afterward. Edit Run updates run details. Once boxes exist, table descriptions use inventory data first; planned box-entry defaults remain useful for the next box.

Currently Running

Compare recorded count with the estimate. Enter the box number, weight, location, shift, and production date, then choose Add Box. Check the date: A shift defaults to today; B/C default to yesterday. You can adjust it for the box you are entering.

  • Pause Run moves the run to Paused Runs and stops box entry until resumed. Existing boxes retain their statuses and locations.
  • Mark Done means production has finished and sets current boxes to Complete. It moves the run to Done — Awaiting Final Count.

Done — Awaiting Final Count / Paused Runs

For Done runs, physically count the boxes and resolve differences in Workspace before using Turned In to finish that phase. For Paused runs, use Resume Run to continue or Mark Done if production is finished. Run State is separate from each box's Status; when every box is Shipped, the run becomes Shipped.

Tally Sheet

View Tally Sheet opens a printable Lot/R tally. Choose First Made/Received Date, Current Date, or Blank for its date.

  • The normal view follows physical box numbers. Presentation Ready removes numbering gaps for a compact presentation; it does not renumber inventory records.
  • Show Total Weight controls the printed total. Edit in Workspace opens the displayed group; Print prints the sheet.
  • Read any warning about missing/unreadable box numbers or the 80-box paper limit before relying on the printout.

Workspace

Open a Lot # or R # to see its boxes. Shared inputs apply across the displayed group; individual rows let you adjust one box. Review those rows before choosing Save Changes.

  • Qty → Add stages new boxes. Leave Start # on Auto or supply a starting box number. Save Changes commits the staged entries.
  • Columns reveals optional per-box fields. A box-number link opens the individual editor; its Delete Record action is permanent.
  • Remove from workspace temporarily hides a box from group edits and saves. Click its number in Not displaying to restore it. This does not delete the saved box.
  • Clear Workspace clears the editing area and discards unsaved changes; it does not erase saved inventory.
  • Lot / R# Notes apply to the whole group. Box Notes apply to individual boxes.

Lot dates and historical material

Expand Lot dates to edit the Lot's production Start/End dates, shared with Production Runs. These do not apply to R groups. For an old Lot first entered in Workspace, select Historical Lot: saving creates a Turned In run and leaves unknown dates blank. Otherwise a new Lot creates a Running run.

Location conflicts and audit moves

A collision prompt lets you keep groups together intentionally, move a checked group's boxes from that row, or mark them Consumed, Shipped, Loaded on Truck, Discarded, or Removed. Choosing a status clears their location to 0. Boxes from the same group in other locations are unchanged. Confirming also saves your Workspace edits. For a floor check, use Row Audit to keep a destination handy across groups.

Voice

The Voice button opens voice entry. Recognition is still being tested, especially in factory noise; inspect the resulting fields before saving and use manual entry when it is unreliable.

If a save reports a problem, reopen the group and check what saved before repeating the action. Some updates may have succeeded before the error.

Activity Log: review other users' changes

The owner can open Activity in the footer. Filter by user, Lot/R # or change text, and date. Expand Changes for details, or select Group this page by user and click Filter.

Each recorded action groups its successful Sheets writes. The owner's account and local testing are excluded. Viewing pages is not logged. Direct edits in Google Sheets are outside this log; use Sheets version history for those.

Times are shown in UTC. This records activity from the time the feature is enabled; it does not recreate earlier history.

Public visitors can browse, with customer names hidden. Changes require an approved sign-in.
